Anatomy of a merchant statement

We tear down a real statement line by line and translate the fine print into plain English. Bring yours, we’ll do the same.

The quick answer

A merchant statement explains what you processed, what settled and what you were charged. Those are three different numbers. In this real January 2025 example, 125 sales totaling $7,079.10 generated $259.52 in statement charges. That is an effective statement cost of 3.67%, although one pricing column shows 0.40%. [1]

Your statement should help you understand your money. Instead, it often looks like a page of abbreviations followed by a withdrawal. Let’s translate it, starting with the totals and working back to the individual charges.

This is an actual historical statement supplied for this guide, with identifying details removed. Its rates describe this account in January 2025; they are not current Deposyt pricing or a benchmark for every merchant.

1. Start with the numbers that should reconcile

Statement fieldActual amountPlain-English meaning
Number of sales125Sales included in the plan and deposit totals.
Gross sales$7,079.10Purchase volume before statement charges.
Credits$0.00No credits reported in these summary sections.
Average ticket$56.63$7,079.10 divided by 125, rounded.
Settled deposits$7,079.10The statement’s deposit total; verify posting against your bank.
Amount deducted$259.52The combined charge shown on the statement.

The deposits show $0 in “Discount Paid,” while the final summary shows a separate amount deducted. That presentation is consistent with gross settlement and a separate fee debit, but only the bank records confirm the actual cash movement. Do not subtract the same fee twice. [1]

2. Read the plan summary without mistaking it for the whole bill

“Plan” refers to the card categories shown in the statement’s legend. VS is Visa, VD is Visa Debit, VB is Visa Business; MC, MD and MB are the corresponding Mastercard categories. AM is American Express and DS is Discover. Use the statement’s own legend rather than guessing from a code.

“Disc %” is 0.4000%, not 40%. “Disc P/I” is $0.03 per item on the active plan rows. Here, “discount” is a processing charge—not a discount given to your customer. The plan charge checks out:

$7,079.10 × 0.40% + 125 × $0.03 = $32.07, rounded.

The zero-volume DB row has a different displayed percentage but contributes nothing this month. The structure is consistent with separately itemized pricing; the contract is still needed to confirm the arrangement. Neither the $32.07 plan charge nor every dollar outside interchange can automatically be called processor profit. [1]

3. Follow every category into the final deduction

The statement separates the plan charge from the detailed “Fees Due.” Add both once:

$227.45 Fees Due + $32.07 Discount Due = $259.52 Amount Deducted. Using $227.45 alone would understate the billed cost. [1]

Interchange and American Express program fees: $148.97

These rows group transactions into pricing programs. Card type, transaction characteristics and qualification affect the result. Visa distinguishes interchange between financial institutions from the merchant discount paid to the merchant’s provider. [2]

For a concrete example, “VS US REG DB” shows 28 transactions, $1,386.66 in volume, a 0.0500% rate and $0.22 per item. $1,386.66 × 0.05% + 28 × $0.22 = $6.85 when calculated on aggregate volume, while the billed row is $6.90. Transaction-level rounding could explain a difference of this size; the underlying transaction calculation is needed to confirm it.

“MC World Elite Merit1” has nine transactions totaling $1,423.95 and a $37.92 charge. That is one card program’s cost—not the rate on all Mastercard sales. [1]

Authorization fees: $9.80

There are 17 Amex authorizations and 179 V/MC/D authorizations, each billed at $0.05: 196 × $0.05 = $9.80. Authorization activity is not the same as settled sales. Declines, retries or other authorization events are possible explanations for the difference from 125 sales; this statement does not identify the cause. Ask for the event log and billing definition before concluding that transactions were duplicated. [1]

Batch fees: $1.60

The statement bills 32 batches at $0.05 each. A batch is a group submitted for settlement; it is not necessarily one per day. Two batches on a day can therefore be legitimate. Confirm that the batch count matches your actual closing schedule. [1]

Card-brand fees: $30.69

This heading contains network-related labels, assessments, authorization charges and other program charges. Preserve the statement’s classification, but do not assume the heading proves every charge is an unmarked-up network pass-through.

One actionable row is “VS Misuse of Authorization”: 29 items at $0.09, totaling $2.61. Ask which events triggered it and whether authorization, reversal or settlement handling needs attention. The label alone does not identify a software defect.

Some rows cannot be rebuilt from their displayed percentage alone. For example, “MC Digital Enablement Fee” shows $1,632.69 at 0.0200%, which produces about $0.33, while the bill lists $0.86. Ask about applicable minimums, transaction-level calculation and omitted components; this is a reconciliation question, not proof of overbilling. [1]

Other fees: $36.39

Monthly Fee ($10), Monthly Online Access ($5), PCI Program ($5) and Website Monitoring ($15) total $35. Another $1.39 is 139 address-verification items at $0.01 each.

Ask what each service provides, whether it is required under the agreement, and whether you are paying elsewhere for overlapping services. A line labeled “PCI Program” is not evidence by itself that the business has validated PCI compliance. PCI SSC identifies official validation documents and explains that compliance programs are managed by brands and acquirers. [1] [3]

4. Calculate the effective rate—and understand its limits

$259.52 ÷ $7,079.10 × 100 = 3.67%

Total statement charges ÷ processed sales × 100.

This is the effective cost visible on this statement. It is not a quoted card rate, a surcharge recommendation or a full profitability measure. Separately billed gateway, software or equipment charges would need to be added to a broader cost review.

The $35 in fixed monthly items alone represents approximately 0.49% of this month’s volume. That explains why a low-volume month can produce a higher effective percentage even when contractual rates have not changed. At the same hypothetical $35 fixed charge and $20,000 volume, that component would be 0.175%; this is arithmetic, not a forecast.

5. Match deposits and read the charts carefully

Pages one and two list the daily deposit groups. Match the settled totals to the processor funding report, then to bank postings, allowing for the actual funding schedule. The statement’s net sales figure is not net profit.

Page four summarizes the card mix and compares monthly sales visually. The pie chart uses rounded percentages; the plan-summary amounts are the better basis for exact analysis. Do not turn bars without numerical labels into supposedly exact historical sales figures. [1]

6. Ask better questions before changing processors

  1. What is contractual? Match the rate schedule and each recurring service fee to your signed agreement.
  2. What is transactional? Reconcile sales, authorizations, verification requests and batches separately.
  3. What needs explanation? Request the detailed calculation for rows that do not reproduce from the displayed inputs.
  4. What is missing? Gather separate invoices and bank debits before comparing total cost.
  5. What would actually change? Ask for an itemized comparison using the same volume, card mix and services.

A useful review should connect costs to how you accept payments: payment links, recurring billing or other channels. If you are considering Deposyt dual pricing, review customer-facing prices, eligibility and the complete agreement—not just a promise about one fee.

Bring yours. We’ll translate it.

Ask Deposyt for a statement review that separates the published rate from the actual bill, explains unfamiliar line items and compares your options. No savings number should come before the analysis.

Frequently asked questions

Does “Discount Due” mean I received a discount?

No. On this statement, it is the $32.07 plan charge added to the other fees.

Does a 3.67% effective rate mean I am overpaying?

Not by itself. Volume, card mix, transaction behavior, fixed services and the agreement all matter. This statement does not establish a fair-market comparison.

Did the merchant receive $6,819.58?

That is $7,079.10 less $259.52, a useful arithmetic remainder. The bank record is needed to confirm the timing and amount of actual credits and debits.

Can every fee be removed?

No such conclusion follows from a statement. Some items may be negotiable, some depend on transaction handling, and others reflect network or program costs. Ask for a documented explanation.

This table preserves every detailed fee row’s label and billed amount from pages two and three. Explanations decode the labels; they do not certify the charge’s basis or contractual validity. Plan-summary rows are shown in the redacted page-one excerpt. [1]
